Automate requests so nothing gets lost

I show owners of small service companies how to organise requests, quotes and crew schedules so nobody retypes anything by hand.

Requests, quotes and documents run in my own companies: WentON and EDUS.

Three processes, before and after

Each diagram shows a real process. Two are taken from WentON and EDUS, the third is a rollout plan for a client. I always start from how your company works today.

What I automate in a small service company

running in my own businesses

  1. 01

    Requests and messages

A bot replies in DMs and under posts, collects the details and opens a request. You get a summary.

    EDUS

  2. 02

    Quotes and pricing

Prices from your price list, three options and a ready email draft. You check it and send it.

    WentON

  3. 03

    Documents and applications

Details from a questionnaire go into PDF forms, and a second pass checks that everything matches.

    EDUS

  4. 04

    Invoices

Monthly invoices from one configuration: a preview to check first, then issued in the invoicing software.

  2. 02 / Air conditioning installation

Before: Air conditioning inquiries arrive by email. Capacity, price and quote text had to be worked out and written by hand, so some waited until the next day.

Before: Every university application was filled in by hand: names, addresses and passport numbers copied from a questionnaire.

  4. 04 / Property rental

Who I am

Oleh Nikolaiev, specjalista automatyzacji procesów w olekflow

Hi, I'm Olek.

I've been running businesses in Warsaw for over 10 years. WentON: HVAC installation. EDUS: education center for Ukrainian students. I hold a Master's degree in Process Management. I know the daily grind of small business from the inside: inquiries, quotes, follow-ups, invoices, team coordination.

The request, quote and document systems described above come from these two companies. Now I help other service businesses do the same.

I combine AI with simple tools, ideally the ones the company already uses. I build systems that work and that a business owner can actually understand. No rocket science.

AI training for your team

Your company is already required to train its people on AI (AI Act). I do it for one company at a time: I teach the team on your emails and offers, not on generic examples.

  • The Automation Map is free. Implementation starts from 900 zł. You don't need to automate everything at once. We start with one process and scale the system step by step.

  • I build systems that a business owner can understand without a developer's help. After implementation, you get training and 2 weeks of support. If something breaks, I fix it.

  • Intro call: 15 minutes. Process call: 60 minutes. Implementation: 1-3 weeks depending on complexity. Most companies have their first working system within a month.

  • That's why I start with a free Automation Map, so we both see whether and what can be automated. If after the call I determine I can't help, I'll tell you straight. Zero risk on your side.
